As the data controller under GDPR, we carry out the following processing activities:

 

2.1. Website Visits

When you visit our website, we use cookies to ensure its functionality.

We process your personal data to engage in a dialogue with you, for example, to answer questions about our services. We only process the information you provide in connection with our communication.

We typically process the following personal data: name, email, phone number.

Our legal basis for processing these personal data is GDPR Article 6(1)(f).

We delete our communication with you once it becomes clear whether you wish to use our services or not. In special cases, we may retain your data for a longer period if necessary.

 

2.3. Customers 

We need to communicate with our customers to ensure proper service delivery. This involves processing data such as name, address, services, special agreements, payment details, etc..

Our legal basis for processing these personal data is GDPR Article 6(1)(b).

Once the service has been delivered and any outstanding matters are resolved, we will delete the personal data.

 

2.4. Newsletter

We offer a newsletter that you can voluntarily subscribe to—and you can unsubscribe at any time.

The purpose of the newsletter is to send updates about our business, including new website content and service announcements.

We only send emails if you have actively given your consent. Initially, you provide your email address, and we then send a confirmation email to ensure that you have indeed subscribed.

Our legal basis for processing your personal data (email address) in relation to the newsletter is GDPR Article 6(1)(a).

We will process your personal data for as long as you remain subscribed to the newsletter. If you unsubscribe, we will stop sending emails to you. If you do not engage with our newsletter for 1 year, your consent will be considered withdrawn.

When you unsubscribe, we will retain your previous consent for 2 years due to statutory limitations, as outlined in the Consumer Ombudsman’s spam guidelines, section 11.3.

 

2.5. Accounting

We are required to retain all accounting records in accordance with the Bookkeeping Act. This means we store invoices and related records that may contain name, address, service description, etc.

Our legal basis for processing these personal data is GDPR Article 6(1)(c).

We store these records for at least 5 years after the end of the financial year in question.

 

2.6. Job Applications

We welcome job applications to assess potential employment opportunities within our company.

If you submit a job application, our legal basis for processing your personal data is GDPR Article 6(1)(f).

- If you submit an unsolicited application, HR will assess its relevance immediately and delete your data if no match is found.

- If you apply for a specific job, we will delete your application once the right candidate has been selected.

- If you proceed in a recruitment process or are hired, we will provide separate information on how your personal data will be processed.

 

3. Data Processors

We collaborate with partners and suppliers, some of whom act as data processors.

External suppliers may provide services such as workflow organization, IT hosting, consulting, and marketing.

We ensure that your personal data is handled securely by requiring our partners to adhere to high standards of protection. We establish formal agreements with any company (data processor) that processes personal data on our behalf.
